Customer dashboard
The customer dashboard lists all customer accounts in your system. From here you can:- Search by name or email to find a specific customer
- View booking history to see all past and upcoming reservations
- Check membership status to see if a customer has an active membership or activity pass
- View waiver status to confirm whether required waivers have been completed
Create a customer manually
You can add customers to your database without waiting for them to book online — useful for phone bookings, walk-ins, or migrating existing records.1
Open the customer dashboard
Go to Clients in the sidebar to see your existing customer list.

Start a new client
Select New client in the top right.

Fill in their details
Enter the customer’s name, email, and phone number. Email is used for booking confirmations and account access, so make sure it’s correct.

Create the user
Select Create user. A confirmation appears at the bottom of the screen and the new customer is added to your database immediately.
Customer profiles
Each customer profile is organized into tabs:Activity passes
The Activity Passes tab on a customer profile lists all active activity passes belonging to that family. Each pass appears as a card showing the pass name, code, who the pass is assigned to, remaining redemptions, and expiry date. A status badge highlights whether the pass is Active, Depleted (no redemptions left), or Expired. Active passes are listed first. Select View on a pass to see its full details, including the purchase date, expiry date, and eligible activities. If you have financial dashboard permissions, you can also manage the pass directly from this view — adjusting redemptions, changing the expiry date, or reassigning the restricted user. If a family has more than five passes, select Show more to load additional passes in batches of five.Archive a customer
Archiving a customer removes them from the active client list while preserving their booking history, waivers, and payment records. Use it for accounts that are no longer active — for example, customers who have asked to be removed from your system or duplicate records you want to retire.1
Open the customer profile
Go to Clients in the sidebar and select the customer you want to archive.

Archive the account
Select Archive on their profile. The customer is hidden from the active client list, but their historical records remain intact for reporting.
You cannot archive a customer who is currently in a membership that is not cancelled. If you try, Sailia blocks the action and shows the message “This user is currently in a membership and cannot be archived.” Cancel the membership first, then archive the customer.
Notes
The Overview tab on a customer profile includes a notes section where you can store free-text notes against the account. Use it to record important details such as medical information, preferences, or any other context your team needs when working with a customer.Notes are only visible to staff with permission to view other user profiles. If you don’t see the notes section, ask an admin to update your permissions.
Customer accounts
Customers can create an account on your booking page. With an account, they can:- View their upcoming and past bookings
- Manage their membership and activity passes
- Complete waivers before attending an activity
- Upload a profile image
- Save their details for faster checkout
Linking customers at the POS
When processing a POS sale, you can link the transaction to an existing customer account. This ensures the booking appears in their history and any membership discounts are applied automatically. If the customer does not have an account, the POS creates a booking with the attendee details you enter. The customer can later create an account to claim their booking history.Related guides
