The four key sections
How money moves through Sailia
- A customer pays — by card online, at the POS, or via an instalment plan.
- The amount appears in Pending balance while Stripe settles it.
- Settled funds move to Available balance.
- Stripe sends a payout to your bank on your configured schedule and the amount is added to Total paid out.
- If you’ve connected Xero, each payout posts as a categorised invoice with VAT breakdowns.
Planning around your cashflow
Use the four numbers together to plan:- Available + Pending tells you what you’ve already earned in this cycle, even if not all of it is in your bank yet.
- Next payout is the amount that will hit your account on the scheduled date.
- A growing pending balance with strong booking volumes is normal during busy periods — Stripe settles per transaction, not in bulk.
Refunds reduce the balance pools you’d expect — pending refunds come out of pending balance, while same-day refunds on cleared payments come out of available balance. See refunds.
